The end of the school year will be here before we know it! How many days do you left? Most elementary schools have a celebration for their 5th graders, since it is their last year of elementary school. If you’re a new 5th grade teacher or in charge of it for the first and looking for ideas to host a successful and memorable 5th grade promotion ceremony, you’ve come to the right place! I’m about to share 5th grade promotion ideas to accomplish just that!
Advance Planning
You will want to begin planning for the 5th grade ceremony at least 3-4 weeks in advance of the actual date. If your admin doesn’t already set a date, come up with a date close to the last day of school. Usually the Friday of the week before works well for a during the day ceremony or an evening ceremony during the last week of school would work, too. Make sure this date is placed on the school calendar with admin approval and, then, create an invitation for families.
Invitation
The invitation can easily be created on Canva. Some key information to include would be the date, time, location, and what students are expected to wear to the event. Send this invitation out as possible to give families time to request off work, if needed. Post it on the school social media and have it go out in whatever ways families are communicated with at your school.
Speakers
The next step is to decide if you will have one or more speakers. For a 5th grade ceremony having a short motivational speech given by a member of the community can create a positive, encouraging atmosphere. Then, you will probably want the principal to say a few words. Furthermore, you could have the 5th grade teachers speak or have a few students speak. Give everyone plenty of advance notice and time to prepare.
Decorations & Food
Once that is decided, decorations and food come next. Decorations can be as simple as a few tables covered with plastic tablecloths, graduation confetti, and some balloon bouquets placed around the room. At our school, we have the students walk down an aisle between the chairs where families are sitting and they place a long piece of butcher paper to create the walkway.
Food is usually a small dessert offering of some sort. Cupcakes or cookies are great options because you don’t have to cut them or buy cutlery to eat them with. Drinks should include bottled water and possibly juice boxes. Make sure the cupcakes and cookies are ordered and will be ready for pick up by the date of the ceremony.
Music
Have the music selected and ready on a playlist. You will want a song for the students to arrive to and to play at the end. You could use the graduation song “Pomp and Circumstance” or choose an upbeat song, “The Best Day of My Life” by American Authors. A song to leave by could be a song like “Celebration” by Kool and the Gang or a song about memories, like, “Good Riddance (Time of Your Life)” by Green Day.
Program & Slideshow
You will probably want to design a program to give out at the event that lists the students names and the order in which things will go. You may, also, want to design a slideshow of pictures to play while families are being seated with some instrumental music playing in the background. It’s always a big hit to include photos from all the years of school that students have been a student there. It’s, also, fun to include slides of the students now with a sentence about what they want to be when they grow up.
Certificate
A final important thing to plan is what certificate to use to hand out to students. There are plenty of options out there. You can order them on Amazon, find one on platforms like Teachers Pay Teachers, or create your own and print them. Make sure to have them filled out before the ceremony.
The Students
The 5th graders will need to be prepared in advance, also, of the ceremony. Let them know how to dress and what is expected them. Practice in the room where the ceremony will be held, so the students know exactly what to do.
If students are speaking or performing a song, this needs to be well thought out and practiced as well. Keep in mind the time limit that has been set for the event. Keeping it to around an hour is best. You don’t want anyone to get too antsy before its over, students or families.
The Morning Of or Afternoon Before
Have volunteers or the other 5th grade teachers and admin help set up for the event. Arrange the seating and have tables out for the food with plates and napkins. The decorations can be put up at this time, too. Then, either you go pick up the food and drinks or arrange to have someone else do it.
Showtime
Students should be lined up in the order that is decided. Usually by class, alphabetically by last name is preferable. The music is cued up with someone appointed to start it. The slideshow is playing. Speakers have arrived and are in place. Families have been seated.
Do what was prepared and practiced in advance. Hopefully everything will go as planned and you will have a successful and memorable 5th grade promotion ceremony!
Final Notes
Do NOT undertake planning and preparing the 5th Grade Promotion Ceremony on your own! It should be a team effort. You may be the one in charge, but others should definitely be helping. Delegate tasks or have a sign-up sheet to get volunteers to complete tasks. A checklist will be very helpful at this time, too!
For funding, discuss with your principal if there is room in the school budget to fund some, or all, of the event. Otherwise, ask for donations from local businesses and see what you can get to help cover the costs or get supplies donated.
Another decision to be made is whether or not the students will graduation caps. That is a school by school decision. Some schools feel it is not technically a graduation, so no caps are warranted, and other schools like to have students wear them. Caps can be purchased by the school and saved year to year, or families can order and purchase them (if you want students to keep them).
